1. Introduction
Rosehill College is committed to fostering a learning environment that promotes academic success and personal development. Attendance is a critical component of this commitment.
2. Purpose
The purpose of this policy is to:
- Define attendance requirements for students.
- Establish procedures for monitoring attendance.
- Outline responsibilities and consequences related to attendance.
3. Scope
This policy applies to all students enrolled in courses at Rosehill College, including full-time, part-time, domestic, and international students.
4. Definitions
- Attendance: Presence in scheduled classes, tutorials, laboratories, and other course-related activities.
- Absence: Failure to attend scheduled classes without prior approval or valid reason.
5. Attendance Requirements
5.1 Minimum Attendance Rate
- Requirement: Students must attend at least 80% of their scheduled classes.
- Recording: Attendance is recorded daily using Daily Class Attendance Sheets and entered into the Student Management System on a weekly basis.
5.2 Excused Absences
- Valid Reasons: Illness, medical appointments, family emergencies, or other approved reasons.
- Documentation: Students must provide valid documentation (e.g., medical certificate) for excused absences.
5.3 Notification of Absence
- Procedure: Students must notify the college in advance of any anticipated absences and provide supporting documentation.
5.4 Excessive Absences
- Threshold: Absences exceeding 20% of scheduled classes are considered excessive.
- Consequences: May result in warnings, interventions, or disciplinary actions.
6. Monitoring Attendance
6.1 Attendance Monitoring
- Daily Check: Attendance is monitored daily using Daily Class Attendance Sheets.
- Weekly Review: Attendance records are reviewed weekly and entered into the Student Management System to identify students at risk of not meeting attendance requirements.
6.2 Intervention Strategies
- Identification: Students at risk of not meeting attendance requirements are identified through monitoring.
- Intervention: Students are required to participate in intervention strategies, including meetings with academic advisors and developing action plans.
7. Responsibilities
7.1 Students
- Compliance: Adhere to attendance requirements.
- Notification: Notify the college of any anticipated absences and provide required documentation.
7.2 Academic Staff
- Monitoring: Record attendance regularly.
- Support: Provide support and guidance to students struggling with attendance.
- Intervention: Implement intervention strategies for students at risk.
7.3 Administration and Student Support Officer
- Records Management: Maintain accurate attendance records.
- Communication: Notify students of attendance policies and procedures.
8. Consequences of Non-Compliance
8.1 Warnings
- First Warning: Issued when a student’s attendance falls below 80% for the first time.
- Second Warning: Issued if attendance remains below 80% despite initial intervention.
8.2 Academic Consequences
- Course Impact: May affect eligibility to continue in or complete the course.
8.3 Disciplinary Actions
- Suspension: Temporary suspension for severe or repeated non-compliance.
- Expulsion: Expulsion from the college for ongoing non-compliance or misconduct related to attendance.
9. Procedures
9.1 Recording Attendance
- Daily Entry: Instructors record attendance using Daily Class Attendance Sheets at the start of each class.
- Review: Administration reviews attendance records weekly to identify issues.
9.2 Addressing Absences
- Notification: Students must inform the college of absences in advance.
- Follow-Up: Administration follows up on unnotified absences to determine reasons.
9.3 Intervention Process
- Identification: Students at risk are identified through regular reviews.
- Meeting: Arrange meetings with academic advisors to discuss attendance issues.
- Action Plan: Develop and implement an action plan to address issues.
10. Review and Continuous Improvement
10.1 Regular Monitoring
- Frequency: Attendance is monitored continuously throughout each term.
